    EARLY DISMISSALS FOR APPOINTMENTS

Please email TMSattendance@ycsd.york.va.us to report when your student logs off to attend an appointment and send an email when the student returns to class.

    EXCUSED ABSENCES

Parents/guardians are requested to call the school if their child is going to be absent. Parents/guardians are responsible for providing the school with a note (within 72 hours) indicating the reason(s) for the absence. In order for your student’s absence to be considered excused, please email Mrs. Krewinghaus at tmsattendancesecretary@ycsd.york.va.us

Legitimate reasons for absences are illness (including mental health, behavioral health, and substance abuse illnesses), death in the family, funeral, legal obligations, suspensions, religious observances, military obligations, injury, medical procedures, doctor or dental appointments (not possible to be scheduled on non-school time), and/or exceptional circumstances as determined by the building principal.

    PRE-ARRANGED ABSENCES

Parents are required to request approval for Absences of 3 or more days by emailing TMS Attendance Administrator bwest@ycsd.york.va.us. The absence is not excused until all assignments have been completed per Make-up Work in the Student Handbook. Students are expected to notify their teacher of their absence and request classwork and homework that will need to be completed upon their return.

    UNEXCUSED ABSENCES

Any absence from school that is not documented by parent/guardian or doctor’s note is considered unexcused. Any absence not defined under the before mentioned excused absence section is considered an unexcused absence. If a student accrues more than ten (10) absences, which is considered excessive, and does not provide a doctor’s note or specific documentation from the institution requiring the student to miss school, the absence is considered an unexcused absence

    EXCESSIVE ABSENCES

If a student accumulates excessive (ten (10) or more) absences, a physician’s note may be required. At least one (1) day will be allowed for make-up work for every day of excused absence. If a student is absent due to the observance of a religious holiday, the absence will be recorded as excused on the student’s attendance record. That student cannot be deprived of any award or eligibility or opportunity to compete for any award or of the right to take an alternate test or examination, for any time missed due to the observance of a religious holiday.

  • Attendance Notes

Students need to bring in a note the day they return from an absence. These notes should be brought to the attendance office first thing in the morning.

Parents can also email the attendance secretary, Anita Boseman, with notes.

  • Athletic Attendance

A student must be present at school for at least half of the day to be eligible to play in any athletic events that day.

  • Attendance Letters

Parents/Guardians will receive written notification from the school when a student has accumulated five unexcused and ten total absences. An accumulation of five unexcused absences will result in a referral to the school division attendance officer, and, if an additional unexcused absence occurs, the attendance officer and parents/ guardians will be required to participate in the development of a plan to improve the student’s attendance.

  • Unexcused Absences

To comply with the Code of Virginia § 22.1-254

    Students are expected to...

    • attend school every day.
    • be on time (unless there is illness or death in the immediate family. Doctor, dental, or personal appointments should be made on days off, half days, or after school hours when possible)

    Parents are expected to...

    • provide the school with a note (within 24 hours) indicating the reason(s) for the absence. Legitimate reasons for absences are: illness, death in immediate family, doctor or dental appointment (not possible to be scheduled on non-school time), and/or exceptional circumstances as determined by the building principal.

Please Note: Absences occurring on pre-determined test dates should be avoided and will only be considered excused under extreme extenuating circumstances. For any other reason, the absence is unexcused.

    (YCSD Student handbook, page 14)

Virginia Department of Education and YorkCounty School Division regulations for unexcused absences are:

    • 5 Unexcused Absences- An attendance letter is sent home and an attendance plan is developed
    • 6 Unexcused Absences- An attendance conference will be held that includes the parent/gaurdian and appropriate school and division personnel
    • 7 Unexcused Absences- The school divicsion truancy team will meet and a possible court referral or additional interventions will be made

    Chronic Absenteeism

Students who miss 10 or more days of school or 10% of the school year (18 days in a 180 school day year, about 2 days a month) whether the absences ar excused or unexcused, are considered chronically absent. It is very important that students miss as little school as possible so that they receive consistent instruction and do not fall behind their peers. It also allows teachers to regularly track student progress and provide intervention and support when necessary.
